Introduction

This Privacy Policy explains how Peak Reviews LLC ("Peak Reviews," "we," "us," or "our"), a Washington limited liability company, collects, uses, shares, and protects personal information.

Peak Reviews provides done-for-you Google review generation and reputation management services to local service businesses.

This Policy applies when you:

  • visit our website at https://peakreviewsco.com;
  • submit a form, request a demo, or book a consultation with us;
  • communicate with us by email, phone, or text message;
  • purchase or use our Services as a client; or
  • receive a review request message that we send on behalf of one of our clients.

Two groups of people, two different roles

Please read this part carefully, because it determines which sections of this Policy apply to you.

If you are a business owner or prospective client — you visited our site, requested a demo, or hired us — we collect your information for our own business purposes. We decide how it is used. Sections 1 through 4 and 6 through 19 apply to you.

If you are a customer of one of our clients — you received a text or email asking you to review a business you hired, such as an HVAC company, plumber, or barbershop — we did not obtain your information from you, and we are not using it for our own marketing. That business gave us your contact information so we could send the request on its behalf. The business decides what happens with your information; we act on its instructions. Section 5 applies to you, and explains how to stop receiving messages.

Summary of Key Points

Do we sell your personal information? No. We do not sell, rent, or trade personal information to anyone, ever.

Do we share mobile numbers or SMS consent with third parties for marketing? No. Never, under any circumstance. See Section 6.

What do we collect? From prospects and clients: business contact details, information you volunteer, payment details processed by our payment provider, and standard website analytics. From clients: contact lists for their own customers.

Why did I get a text from you? Because a business you hired asked us to send it. Reply STOP to that message and you will not receive another. See Section 5.

Do we use AI? Yes, to help draft review responses and messaging. A human reviews sensitive output. See Section 9.

What rights do you have? You may request access to, correction of, or deletion of your personal information. See Section 13.

1. Information We Collect

1.1 Information you give us directly

When you contact us, request a demo, book a consultation, or become a client, we may collect:

  • your name and job title;
  • your business name, address, and website;
  • your email address and phone number, including mobile number;
  • your industry and information about your business;
  • the content of messages you send us; and
  • information you provide during calls, onboarding, or support conversations.

1.2 Payment information

If you become a client, payment is processed by a third-party payment processor. We do not store full payment card numbers on our systems. We retain only billing records such as amounts, dates, invoice history, and a payment reference identifier.

1.3 Information collected automatically

When you visit our website, we and our analytics providers may automatically collect:

  • IP address and approximate location derived from it;
  • browser type, device type, and operating system;
  • pages viewed, time on page, and referring URL;
  • date and time of visit; and
  • similar diagnostic and usage data.

1.4 Client Customer Data

Clients provide us with contact information for their own customers so that we can send review requests on their behalf. This typically includes name, phone number, email address, service or job date, and job type. Section 5 explains how we handle this category.

We do not intentionally collect sensitive categories of personal information — such as health information, financial account details, biometric data, precise geolocation, or government identifiers — and we ask clients not to include such information in the data they send us.

2. How We Use Information

We use personal information for the following purposes:

  • to respond to inquiries, provide demos, and schedule consultations;
  • to deliver, operate, and support the Services;
  • to onboard clients, including account provisioning and carrier registration;
  • to process payments and maintain billing records;
  • to communicate about accounts, service changes, and support requests;
  • to produce reporting and performance summaries for clients;
  • to improve our Services, website, and messaging effectiveness;
  • to market our own Services to businesses and prospective clients;
  • to detect, prevent, and address fraud, abuse, or security incidents; and
  • to comply with legal obligations and enforce our Terms of Service.

We do not use personal information for automated decision-making that produces legal or similarly significant effects.

3. Marketing Communications

If you are a business owner or prospective client, we may send you marketing email about our Services. You may opt out at any time using the unsubscribe link in any marketing email, or by emailing support@peakreviewsco.com. Opting out of marketing does not stop transactional messages relating to an active account, such as billing notices or service updates.

We do not send marketing text messages to prospects who have not asked to receive them. See Section 6 for how mobile numbers are handled.

We do not, under any circumstances, use a client's customer list to market our own Services.

4. Cookies and Tracking Technologies

Our website uses cookies and similar technologies to operate the site, remember preferences, and understand how visitors use it.

We use:

  • Essential cookies, required for the site to function.
  • Analytics cookies, which help us understand aggregate traffic and page performance.

Most browsers let you refuse or delete cookies through their settings. Blocking essential cookies may cause parts of the site to stop working.

We do not use cookies to build advertising profiles across unrelated third-party websites.

5. Client Customer Data — Our Role

This section is for people who received a review request message from us.

5.1 Why you received a message

You received a text or email because a business you hired — for example, an HVAC company, plumber, electrician, or barbershop — uses Peak Reviews to request feedback from its customers. That business provided your contact information to us so we could send the request on its behalf. The message is sent in that business's name.

We did not obtain your information from a purchased list, and we did not find it online. It came from the business you did business with.

5.2 We act as a service provider

For this category of information we act as a service provider to our client. The client determines what data is provided to us and how it is used. We process it only to deliver the Services to that client — sending the review request, routing your reply or private feedback back to the business, and producing aggregate reporting for that business.

We do not:

  • use your contact information to market Peak Reviews to you;
  • use one client's customer data to serve any other client;
  • sell, rent, trade, or license your information to anyone;
  • combine your information with data from other sources to build a profile of you; or
  • retain your information for our own purposes after the client relationship ends.

5.3 How to stop receiving messages

Reply STOP to any text message. This immediately and permanently ends messages from that business through our system. You will receive a single confirmation and nothing further.

For email, use the unsubscribe link in the message.

You may also email support@peakreviewsco.com and we will remove you.

Opt-out records. When you opt out, we retain a minimal record of your opt-out — enough to make sure you are never contacted again, even if the business re-uploads its customer list later. We keep this record indefinitely because deleting it would defeat its purpose.

5.4 Your rights regarding this information

Because the business you hired controls this information, requests to access, correct, or delete it are usually best directed to that business. If you contact us instead, we will either forward your request to the client or act on it directly where we are able, and we will tell you which. Opt-out requests we always honor immediately and directly.

6. SMS and Text Messaging

6.1 Messages to prospects and clients

If you give Peak Reviews your mobile number — for example, on our demo request form — you consent to receive text messages from us relating to your inquiry, including scheduling, confirmations, and follow-up about our Services.

Consent to receive text messages is not a condition of purchasing anything from us.

Message frequency varies based on your interaction with us. Message and data rates may apply; we do not charge for messages, but your carrier may.

Reply STOP to opt out. Reply HELP for help, or contact support@peakreviewsco.com. Mobile carriers are not liable for delayed or undelivered messages.

6.2 We do not share mobile information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Mobile numbers and consent records are used solely to deliver the messages described in this Policy. The only parties with access are the messaging and telecommunications service providers that operate our sending systems on our behalf, who are contractually restricted to that purpose and may not use the information for their own purposes.

6.3 Messages to client customers

Text messages sent to a client's customers are sent under that client's business identity, using that client's consent basis, as described in Section 5. Opt-out applies immediately and permanently.

7. When and With Whom We Share Information

We share information only in the following circumstances:

Service providers. We use third-party vendors to operate our business, and share only what each needs to perform its function. These include:

  • our CRM and marketing automation platform;
  • telecommunications and SMS delivery providers;
  • email delivery providers;
  • our payment processor;
  • Google, in connection with managing a client's Google Business Profile;
  • Google Business Profile optimization tools, for clients on the applicable service tier; and
  • website hosting, analytics, and scheduling providers.

These providers are permitted to use the information only to provide services to us.

With the client whose customers they are. Replies, private feedback, and reporting are returned to the client whose customers they concern.

Legal requirements. We may disclose information if required by law, subpoena, court order, or governmental request, or where we believe disclosure is necessary to investigate fraud, protect the safety of any person, or enforce our Terms.

Business transfers. If Peak Reviews is involved in a merger, acquisition, or sale of assets, personal information may transfer as part of that transaction. We will provide notice before information becomes subject to a materially different privacy policy.

With your consent. We share information where you ask us to.

8. How Long We Keep Information

We keep personal information only as long as needed for the purposes described in this Policy.

  • Prospect information: up to 24 months after last contact, unless you ask us to delete it sooner.
  • Client account and billing records: for the duration of the engagement, and afterward as required for tax, accounting, and legal purposes — generally seven years.
  • Client Customer Data: for the duration of the client engagement. Following cancellation, we delete or de-identify it within 90 days, subject to the exception below.
  • Opt-out records: retained indefinitely, so that opt-outs continue to be honored.
  • Website analytics data: typically 14 to 26 months, depending on provider settings.

9. Artificial Intelligence and Automated Tools

We use AI-assisted tools to help draft review responses, prepare messaging templates, and summarize reporting.

Where AI is used:

  • output is generated from information already held for the purpose described;
  • responses to critical or negative reviews are reviewed by a person, and may be routed to the client for approval, before publication;
  • we do not use AI to make decisions that produce legal or similarly significant effects about any individual; and
  • we do not knowingly provide sensitive personal information to AI tools.

10. How We Protect Information

We apply reasonable administrative, technical, and organizational safeguards, including access controls, limiting access to those who need it, using reputable vendors with their own security programs, and encrypted transmission.

No method of transmission or storage is completely secure. We cannot guarantee that personal information will never be accessed without authorization. You transmit information to us at your own risk.

If we become aware of a breach affecting your personal information, we will notify you and any applicable regulator as required by law.

11. Information From Minors

Our Services are directed to businesses, and our website is intended for users 18 and older. We do not knowingly collect personal information from anyone under 18.

Clients are instructed not to include information about minors in the customer data they provide.

If we learn we have collected information from a person under 18, we will delete it. If you believe we may hold such information, contact support@peakreviewsco.com.

12. International Users

Peak Reviews operates in the United States and provides Services to businesses located in the United States. Our systems and service providers are located in the United States. We do not direct our Services to individuals in the European Economic Area, the United Kingdom, or Switzerland, and we do not knowingly process personal information subject to the GDPR.

If you access our website from outside the United States, understand that your information will be processed in the United States, where privacy laws may differ from those in your country.

13. Your Privacy Rights

Depending on where you live, you may have the right to:

  • know what personal information we hold about you;
  • access a copy of it;
  • correct inaccurate information;
  • request deletion;
  • opt out of marketing communications;
  • opt out of the sale or sharing of personal information — though as stated, we do not sell or share personal information for cross-context behavioral advertising; and
  • not be discriminated against for exercising these rights.

How to make a request. Email support@peakreviewsco.com with your request and enough information for us to identify you. We will respond within the time required by applicable law, generally 45 days, and may request verification of identity before acting.

If you are a customer of one of our clients, see Section 5.4 — your request usually goes to that business, and we will help route it.

14. State Privacy Rights

Residents of states with comprehensive consumer privacy laws — including California, Colorado, Virginia, Connecticut, Utah, and others as they take effect — may have the rights described in Section 13, including access, correction, deletion, portability, and the right to opt out of sale, targeted advertising, and certain profiling.

For clarity: we do not sell personal information, we do not share it for cross-context behavioral advertising, and we do not engage in targeted advertising based on personal information collected through our Services.

If we deny a request, you may appeal by replying to our response. If your appeal is denied, you may contact your state Attorney General.

15. Do Not Track

Some browsers offer a "Do Not Track" setting. No consistent industry standard for responding to these signals has been adopted, so our website does not currently respond to them. If a standard is established, we will update this Policy.

16. Third-Party Websites

Our website and messages may link to third-party sites — including Google review pages — that we do not control. This Policy does not apply to those sites, and we are not responsible for their content or privacy practices. Review the privacy policy of any third-party site you visit.

17. Updates to This Policy

We may update this Policy from time to time. The revised version takes effect when posted, and we will update the "Last updated" date above. If we make material changes, we will provide more prominent notice, such as emailing active clients. We encourage you to review this Policy periodically.

18. Review, Update, or Delete Your Data

To review, update, or request deletion of personal information we hold about you, email support@peakreviewsco.com. We may need to verify your identity before acting.

To stop receiving text messages immediately, reply STOP to any message.
